Welcome to Meet Xara! Your privacy is important to us. This Privacy Policy explains how we collect, use, and protect information about candidates and users of our platform.

We collect the following candidate data:

  • Name
  • Email
  • LinkedIn URL
  • Interview transcriptions
  • Verification photo

4. How We Use Data

We use candidate information provided by the Client exclusively for the following purposes:

  • To generate AI-assisted insights and evaluation reports based on interview transcriptions, for the Client's internal candidate assessment processes;
  • To support recruiters and hiring teams in evaluating candidates;
  • To operate, maintain, and improve the Meet Xara platform, including its performance, security, and reliability.

All candidate data, interview transcriptions, and evaluation reports generated through the platform are processed on behalf of the Client and for the Client's exclusive internal use.

Meet Xara acts solely as a Data Processor and technology platform provider and does not acquire ownership rights over the Client's candidate data or evaluation results. Nothing in this Privacy Policy shall be construed as transferring to the Client any rights over Meet Xara's underlying technology, methodologies, algorithms, AI models, or evaluation frameworks.

Meet Xara's AI systems provide decision-support insights only and do not perform automated or final hiring decisions. All hiring decisions remain the sole responsibility of the Client.

Use of Anonymized Data for Platform Improvement

Without prejudice to the foregoing, Meet Xara may use aggregated and properly anonymized information, in a manner that does not allow the direct or indirect identification of candidates, Clients, or their organizations, solely for the purpose of improving, training, and optimizing its AI models, algorithms, and platform functionalities. Such use shall not involve access to, processing of, or reuse of identifiable personal data or the Client's confidential information.

5. AI & Automation

We process candidate interview transcriptions using AI to provide useful information for human decision-making. The AI does not make final hiring decisions.

6. Data Retention

Data is retained based on the client's requirements. Retention duration may vary depending on the client.

7. Data Storage and Transfers

Data may be processed and stored in servers located in various countries, including countries outside the EU. We ensure appropriate safeguards are in place for international data transfers.

8. Security and Data Breach Notification

We implement reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure, including secure storage, access controls, and encryption where appropriate.

In accordance with applicable data protection regulations, including the GDPR, Meet Xara commits to notify the Client without undue delay, and in any event within a maximum period of seventy-two (72) hours after becoming aware of any personal data breach or security incident that affects the Client's personal data processed by Meet Xara.

Such notification will include relevant information available at the time and Meet Xara will cooperate in good faith with the Client in taking reasonable measures to mitigate the effects of the incident and comply with applicable legal obligations.

9. Candidate Rights and Data Deletion

Although the platform does not allow candidates to autonomously delete their personal data, Meet Xara ensures compliance with applicable data protection regulations regarding the rights of access, rectification, and deletion.

For data protection purposes, the Client acts as the Data Controller of the candidates' personal data, while Meet Xara acts as the Data Processor, processing such data solely on the documented instructions of the Client.

Requests from candidates to exercise their data protection rights must be managed and submitted by the Client. Upon receipt of a valid and documented request from the Client, Meet Xara commits to permanently delete or anonymize the candidate's personal data under its control within a maximum period of seventy-two (72) hours, unless retention is required by applicable law.

10. Cookies & Tracking

We do not use cookies or third-party tracking tools.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page.
